From the Archives of Saint John’s - What is an Archivist?

The duties of an archivist, in this case a religious archivist, are varied. Basic duties include organizing, classifying, and digitizing historical documents and artifacts; creating and maintaining accessible, retrievable computer archives and databases; coordinating educational and public outreach programs such as tours, workshops, lectures and classes; managing the acquisition, storage, and exhibitions of collections and artifacts; ensuring the preservation of collections in accordance with archival standards; provide access to records for internal and external stakeholders; guide individuals and groups through historical and religious exhibits; compile and maintain records related to items in the collection; and adhering to legal and ethical standards when managing collections.

It is important to distinguish between permanent records and records that only need to be retained for a limited time. Records to be kept permanently include administrative reports such as charge conference and vestry reports and records; architectural drawings, blueprints, maps, legal documents and deeds; annual budget reports; bulletins, directories and newsletters; membership, baptisms, marriages and transfer registers; and scrapbooks, photographs and materials commemorating special occasions.
